What We Collect

Information you give us directly, through our contact or intake form: your name, email address, phone number, and anything you choose to share about what brings you here. You are never required to share more than you're comfortable with in an initial inquiry.

Information collected automatically, when you browse the Site: your general location (city/region level), device and browser type, pages visited, and how you arrived at the Site (for example, from a Google search or a Facebook/Instagram ad). This is collected through cookies and similar tools.

Advertising identifiers, if you arrive via a Google or Meta (Facebook/Instagram) ad, those platforms may set a cookie or pixel that lets us measure ad performance, such as whether you submitted the intake form after clicking an ad. This does not give us access to your Google or Meta account, only aggregate or event-level data about the ad's performance.

We do not collect payment information directly through this Site. Session payments, if applicable, are handled through our practice-management platform (Jane App) or its payment processor, subject to their own privacy practices.

Sensitive information.

We do not ask for sensitive details through the Site's contact or intake form, including health information, government ID numbers, or details about a mental health crisis. Please keep initial inquiries brief and general. If you choose to include sensitive information anyway, you're consenting to our handling of it as described in this Policy, but we'd rather you save the details for your first conversation with your therapist, once proper safeguards are in place.

Age.

This Site is intended for adults. You must be at least 16 years old, or the age of majority in your jurisdiction, to submit information through the Site. If you're seeking support for a minor, please reach out directly by email rather than through the general inquiry form.

How We Use Your Information

We use the information you submit to:

  • respond to your inquiry and, if you choose to proceed, begin the intake process

  • schedule your free consultation

  • communicate with you about scheduling and next steps

  • measure and improve how our ads and Site perform (using aggregated or anonymized data where possible)

We do not sell your personal information. We do not use anything you share in a clinical/therapeutic setting for marketing purposes.

Legal Basis and Applicable Law

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario's Personal Health Information Protection Act (PHIPA), where applicable. Once you become a client, information related to your care is treated as personal health information under PHIPA and is subject to the additional protections and consent requirements that apply to regulated health professionals in Ontario, including those set by the OCSWSSW and CRPO. Your therapist will walk you through how clinical records are handled, stored, and protected as part of your intake.

This Privacy Policy covers information collected through the Site and pre-intake inquiry process. It does not replace the confidentiality and consent agreement you will receive directly from your therapist once a therapist-client relationship begins.

Who We Share Information With

We share information only as needed to operate the Site and deliver services, including with:

  • Jane App, our practice-management and scheduling platform

  • email and communication tools, used to respond to inquiries

  • Google and Meta, for ad measurement, as described above

  • a therapist, once you're matched or request to proceed with intake

We do not share your information with third parties for their own marketing purposes. We may disclose information if required by law, court order, or to prevent harm (for example, imminent risk to your safety or someone else's), consistent with the professional and legal obligations that apply once a therapist-client relationship is established.

International Data Transfer

Some of the third-party tools we use, including Jane App, Google, and Meta, may store or process information on servers located outside Canada, including in the United States. Where this happens, your information becomes subject to the laws of that jurisdiction, and may be accessible to its courts or authorities. We choose providers with reasonable security and privacy practices, but we can't guarantee the same legal protections apply abroad as apply in Canada.

Cookies

The Site uses cookies to remember basic preferences, measure traffic, and support ad performance tracking as described above. You can disable cookies in your browser settings, though this may affect how the Site functions.

Data Retention and Security

We retain inquiry information only as long as needed to respond to you or, if you become a client, as required by your therapist's professional record-keeping obligations. We take reasonable technical and administrative steps to protect your information, but no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

In the event of a breach, if we become aware that your personal information has been lost, stolen, or accessed without authorization, we will notify you by email within 72 hours of learning of the incident, and report it to the relevant authority where required by law.

Your Rights

You may ask us to access, correct, or delete personal information we hold about you by emailing [contact email]. We will respond within a reasonable time. Note that information already part of a clinical record, once a therapist-client relationship exists, may be subject to different retention rules under PHIPA and professional college requirements, and your therapist can explain those specifically.

Opting out. Every email we send includes an unsubscribe link, and you can opt out of future emails at any time by using it or by emailing [contact email]. To opt out of ad retargeting (being shown our ads again after visiting the Site), you can adjust your ad preferences directly in your Google or Meta account settings, or disable cookies in your browser, which will stop new tracking going forward.

Children's Privacy

This Site is not directed at children. If you are seeking services for a minor, please contact us directly rather than submitting the minor's information through the general inquiry form.

Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted here with a new "Last updated" date. Continued use of the Site after changes are posted means you accept the revised policy.
